Provide a smooth and efficient service that allows all new recruits into the business join the company with the minimum of problems. Coordinating all the logistics required such as Visa’s, Iqama’s, accommodation, transportation on the ground and to the Kingdom.

Main Responsibilities Contracts: • Working with the Recruitment department, issuing contracts in accordance, within the agreed HR policy framework, to new recruits and taking receipt of the contracts. • Seeking approval from the Head of People on all contracts before they are issued. • Ensuring all contracts are issued in the same format and style, with minimal recourse to any contractual changes. Al changes must be approved in writing by the Head of People. Government Relations: • Upon receipt of a signed contract, immediately start the visa and iqama process as is appropriate. • Develop a robust process which ensures that all parties are kept fully up to date with the progress of visa applications and ensure it is strictly followed. • Manage the Government relations team to ensure timely receipt of all visas. • Ensure that all avenues are explored and exploited in securing visas. Accommodation: • Oversee the management of all company held housing stock, including allocation to new arrivers. Dealing with compounds management to ensure smooth arrival and departure processes for all staff utilizing them. • Providing staff with support to find personal accommodation as and when required. • Issuing the relevant reference letters required for staff to take on their own leases. • Communicating with all incoming staff and new arrives on what they need to bring with them and do upon arrival. Transportation: • Maintain a list of preferred suppliers, with preferential rates for all staff in relation to car leasing or car and driver hire. • Book all flights for new staff arriving in the Kingdom, including for family where required. • Communicate with both the travel agent and the new staff member to ensure that all the necessary paperwork has been arranged to facilitate a smooth arrival. Settling in: • Arrange for all staff to be met from their arrival airport and transferred to their accommodation. • Produce and keep up to date a welcome pack for all new staff arriving, detailing all aspects of domestic life, including hospitals, shopping, culture etc. • On the first day ensure staff are brought to the office and handed across to the HR team and line managers for induction. • Provide on going support in relation to living in the Kingdom for all staff. Communication & Reporting: • Keeping New Staff, HR and Line Management informed at all times of the status of arrivals. Ensuring that communication channels are kept open and that arrivals and issues are reported quickly and efficiently to the relevant parties. • Report the status of new arrivals and starters to the Head of People on a weekly basis, highlighting any known issue. Medium Term • Develop a Government relations team that is capable of delivering any resource to the kingdom. • Look at ways to reduce company costs in relation to the on-boarding process. Long Term • Achieve a 95% satisfaction rate for all on boarding activities, with all staff delivered on time to the firm. |
